Who this notice applies to
This notice applies to:
• school, trust and education leaders who register with Winfield or take part in an activity;
• representatives of education companies that enquire about or use our services;
• suppliers, professional contacts and other people who communicate with us; and
• visitors to the Winfield Education website.
Our services are intended for professional adults. They are not directed at children, and we do not knowingly collect personal information directly from children.
Information we collect
Depending on your relationship with Winfield, we may collect:
• your name and professional email address;
• your job title, organisation, school or trust;
• school phase, area, responsibilities and professional interests;
• information you provide when registering for an event, meeting or research activity;
• your availability, bookings, attendance and participation history;
• your answers, opinions and professional feedback;
• whether you are interested in further information or contact;
• communication preferences, consent records and unsubscribe history;
• correspondence between you and Winfield;
• information needed to arrange a reward or voucher where one is offered;
• client, supplier, contract and invoice information; and
• technical information about visits to our website, such as browser type, device information, IP address and pages viewed.
Please do not include identifiable information about pupils, parents, colleagues or other individuals in registration forms or feedback unless we have specifically asked for it and explained why it is needed.
How we collect information
We normally receive information directly from you when you:
• register with Winfield;
• complete a form;
• book or attend a meeting or event;
• provide feedback;
• communicate with us by email, telephone or video call;
• enquire about or purchase a Winfield service; or
• visit our website.
We may also receive professional information from publicly available sources, such as school or trust websites, professional profiles and company websites, or through a professional referral. Where we obtain your information from another source, we will provide appropriate privacy information when we first contact you or within the period required by data protection law.
How and why we use your information
School-leader registrations and communications
We use your information to create and maintain your Winfield school-leader profile and, where you have agreed, to email you about relevant research, events and opportunities. The lawful basis for these emails is your consent. You can withdraw that consent at any time. We may use your role, organisation, school phase and stated interests to select opportunities that are likely to be relevant. Our lawful basis for this is our legitimate interest in sending appropriate professional opportunities rather than indiscriminate invitations.
Events, meetings and research
We use your information to:
• assess whether an activity is relevant to your role;
• manage registrations, bookings and attendance;
• provide joining information and reminders;
• organise meetings with participating education companies;
• collect and analyse professional feedback;
• record whether you would like further contact; and
• arrange any stated reward after the participation requirements have been completed.
Our lawful bases are our legitimate interests in organising effective professional activities and research, taking steps you have requested, and fulfilling any commitments made to you.
Sharing information for a specific activity
Registering for the general Winfield school-leader profile does not, by itself, cause your contact details to be shared with an education company. For a particular meeting, event or research activity, we may need to share information such as your name, role, organisation, attendance, feedback or follow-up preference with a named participating company. We will explain what will be shared before you agree to that activity. We only share contact details for follow-up where you have chosen the meeting or follow-up, or where sharing is otherwise made clear as a necessary part of the activity.
Feedback and reports
We use responses and feedback to help education companies understand how their products, services, messaging and proposals are received by school leaders. Where possible, wider reports use combined or unattributed findings. If comments or feedback will be attributed to you or shared with a company in an identifiable form, this will be explained when you register for the activity or provide the feedback. Once information has been irreversibly anonymised so that no individual can be identified, it is no longer personal information and may be retained for research, reporting and statistical purposes.
Education-company clients and professional contacts
We use information about clients, prospective clients, suppliers and professional contacts to:
• respond to enquiries;
• arrange calls and prepare proposals;
• provide and improve our services;
• manage projects, contracts and commercial relationships;
• issue and process invoices;
• maintain business records; and
• meet legal, tax and accounting obligations.
Our lawful bases are contract, steps taken at your request before entering into a contract, our legitimate interests in operating and developing Winfield Education, and compliance with legal obligations.
Website operation and analytics
We use technical information to operate, protect and improve the website and to understand how it is being used. The website is hosted by Framer and uses Framer analytics. Only after you accept optional marketing tracking, we use a Meta Pixel (ID 1419494176915401) to measure website visits and the effectiveness of our social campaigns. Meta may receive browser, device and page interaction data for this purpose. You may reject this optional tracking or withdraw your consent at any time through the site’s Cookie settings button. Our lawful basis for essential website operation and security is our legitimate interest.
Marketing and your right to object
You have the right to stop direct marketing at any time. You can unsubscribe using the link included in our emails or contact david@winfieldeducation.com. When you unsubscribe, we will stop sending the relevant marketing communications. We may retain a minimal suppression record so that we can remember and respect your preference. If you later register again and provide fresh consent, we may update your communication preference while retaining the earlier consent and unsubscribe history as an audit record.
Who we share information with
We may use trusted providers to help operate our business, including:
• Fillout for online forms;
• Airtable for contact and activity records;
• ActiveCampaign for email communications and communication preferences;
• Framer for website hosting and analytics;
• Google Workspace for email, documents and calendar administration;
• Zoom and Calendly where they are used for meetings and bookings;
• voucher or reward providers where needed to fulfil a stated reward; and
• accountants, legal advisers and other professional service providers.
These providers may only process personal information for the relevant service and under appropriate contractual and security arrangements. We may also disclose information where required by law, regulation, court order or a competent public authority. We do not sell personal information.
International transfers
Some of our service providers may process information outside the United Kingdom. Where personal information is transferred internationally, we use providers and arrangements that offer an appropriate level of protection. This may include transfers to countries covered by UK adequacy regulations or contractual safeguards approved under UK data protection law. You can contact us if you would like more information about the safeguards used for a particular service.
How long we keep information
We keep personal information only for as long as it is reasonably needed for the purpose for which it was collected. Our intended retention periods are:
• school-leader profiles are retained while the person remains subscribed or professionally active with Winfield and are reviewed following 24 months without meaningful engagement;
• marketing consent, unsubscribe and suppression records may be retained for up to six years after the most recent action so that we can demonstrate and respect the person’s preference;
• identifiable event, meeting and feedback records are normally retained for up to 24 months after the activity, unless they form part of an ongoing relationship or are needed for a longer agreed project;
• general enquiries and prospective-client records are normally reviewed after 24 months without meaningful contact;
• client, supplier, contract, invoice and accounting records are normally retained for six years after the relevant financial year or the end of the relationship; and
• anonymised research, statistical information and completed reports may be retained for longer because they no longer identify an individual.
We may retain information for longer where necessary to deal with a complaint, establish or defend a legal claim, prevent misuse or comply with a legal obligation.
Security
We use proportionate technical and organisational measures to protect personal information from unauthorised access, alteration, loss or disclosure. Access is limited to people and service providers who need the information for an authorised purpose.
Automated decision-making
We may use role, school phase, interests and previous participation to help identify relevant opportunities. We do not use personal information to make solely automated decisions that produce legal or similarly significant effects.
Your data-protection rights
Depending on the circumstances and the lawful basis being used, you may have the right to:
• ask for a copy of the personal information we hold about you;
• ask us to correct inaccurate or incomplete information;
• ask us to delete personal information;
• ask us to restrict how information is used;
• object to certain uses of your information;
• receive certain information in a portable format; and
• withdraw consent where we rely on consent.
Withdrawing consent does not affect the lawfulness of anything done before consent was withdrawn. To exercise a right, contact david@winfieldeducation.com. We may need to confirm your identity before acting on a request. You can also complain to the Information Commissioner’s Office. We would appreciate the opportunity to address your concerns first, but you are not required to contact us before approaching the ICO.
